How to Manage Opportunities

Master your pipeline by updating statuses, deleting leads, adding custom lost reasons and organizing your view with custom field sorting.

    Managing a high-volume pipeline requires more than just default sorting. By utilizing Custom Field Sorting, you can prioritize high-value deals or urgent follow-ups based on your own custom data, ensuring your sales team focuses on the right leads at the right time.

     How It Works ⚙️ 

    Part 1: Update Opportunity Status

    You can update the opportunity status to keep your pipeline clean.

    1. Click on the Opportunity you want to update.
    2. A pop-up will open. In the pop-up, click on the status drop-down menu.
    3. Select the appropriate status:
      • Lost: Choose this if the lead informed you they no longer wish to be contacted.
      • Abandoned: Select this if the lead has not responded after a certain period.
    4. Click Update.

    Part 2: Delete an Opportunity

    Remove an entry entirely from your list.

    1. Click on the opportunity to open the details.
    2. Click the Delete button in the bottom left corner.

      Note: Deleting is permanent and cannot be undone.
      Part 3: Sort Opportunities by Custom Fields (New!) (April 17, 2026 update)

      🚀Organize your pipeline based on your specific business data.

      1. Navigate to Opportunities in your Huxley dashboard.
      2. Click the Sort icon at the top of the pipeline view.
      3. Scroll past the system defaults to find your Custom Fields.
      4. Select your desired field (e.g., "Estimated Contract Value").
      5. Choose Ascending or Descending.

      Part 4: Adding Custom Lost Reasons
      1. Drag and Drop an Opportunity to the Lost status.
      2. In the pop-up, type a custom reason or select an existing one.
      3. Click Create New Reason to confirm.

      • Utilize the filter option to view all lost opportunities.
      • The associated reason code is displayed for each lost opportunity, providing a quick overview.


      Note: Adding custom lost reasons allows you to capture specific details about why opportunities are lost, enabling a more targeted approach to addressing sales challenges.

      Part 5: Opportunity Card Customization

      Personalize which fields appear on your cards in the pipeline view.

      1. Go to Opportunities and select Manage Fields.
      2. Select up to 7 fields and choose your layout.
      3. Apply to individual or all pipelines and click Save.

      Note: Customizations are applied at the pipeline level by default.

      1. Sales Performance Review:
        • Scenario: Review opportunities marked as "Lost" to analyze common reasons for lost deals.
        • Benefit: Refine sales strategies and address recurring issues to improve conversion rates.
      2. Lead Management:
        • Scenario: Update or delete opportunities that are no longer viable.
        • Benefit: Keep your lead list focused on high-potential prospects and maintain an organized pipeline.
      3. Customized Sales Approach:
        • Scenario: Add specific reasons for lost opportunities to understand the unique challenges faced.
        • Benefit: Tailor follow-up strategies and improve sales tactics based on detailed feedback.

       Troubleshooting 🛠️ 

    1. Custom Field Missing from Sort: Ensure the field type is supported. Currently, "File Upload" and "Signature" fields cannot be used for sorting.
    2. Deleted Opportunity: Remember that deleted opportunities cannot be recovered. We recommend using the "Abandoned" or "Lost" status instead of deleting if you wish to keep the data for future reporting.
    3. FAQs

      Q: How do I know when to mark an opportunity as "Lost" or "Abandoned"?
      A: Mark an opportunity as "Lost" if the lead explicitly states they no longer wish to be contacted or if engagement has ceased. Use "Abandoned" if there has been no response or action after a significant period.


      Q: Can I recover a deleted opportunity?
      A: No, once an opportunity is deleted, it is permanently removed from your account. Ensure that you no longer need the opportunity before deleting it.


      Q: How can I see the reasons for lost opportunities?
      A: Use the filter option to view lost opportunities and their associated reasons. This will help you understand the context behind each lost opportunity.


      Q: Can I add multiple reasons for a single lost opportunity?
      A: Currently, only one reason can be assigned per lost opportunity. If you need to capture multiple reasons, consider adding detailed notes or using custom fields.


      Q: Can I sort by multiple custom fields at once?
      A: Currently, you can select one primary sort field (system or custom) at a time.

      Q: Does sorting by a "Monetary" custom field recognize different currencies?
      A: It sorts based on the numerical value within the field. Ensure your currency settings are consistent across your Huxley account for accurate sorting.
